Job Summary
The Inventory Supervisor is responsible for the governance, control, optimization,
purchasing, and cost management of all inventory across the hospital, covering clinical, non-clinical, and support services. This includes inventory held by medical departments, diagnostic services, hospitality services, housekeeping, administration, facilities, and all other hospital operations.
The role oversees a multi-department inventory and procurement portfolio, ensuringaccurate stock control, timely purchasing, availability, cost efficiency, and compliance with hospital policies and audit requirements. The Inventory Supervisor establishes inventory and purchasing standards, parameters, and control frameworks, ensures consistent application across all departments, and supervises inventory staff responsible for operational execution.
Scope of Inventory Responsibility
Inventory under this role includes, but is not limited to:
Clinical and medical supplies (including but not limited to pharmaceuticals)
Radiology and diagnostic consumables and contrast materials
Medical and surgical disposables
Medical equipment parts, tools, and accessories
Housekeeping and environmental services supplies
Food, beverage, and consumables for hospital restaurant
Facilities, maintenance, and biomedical engineering inventory
Administrative and office supplies
Any other stock held or consumed by hospital departments
Key Responsibilities
Hospital-Wide Inventory & Purchasing Governance
Establish and enforce standardized inventory and purchasing policies, procedures, and controls across all hospital departments
Define inventory parameters such as stock levels, reorder points, safety stock,
lead times, expiry controls, and stock rotation for all inventory categories
Ensure inventory and purchasing practices are consistent regardless of department or inventory type
Purchasing & Supplier Coordination
Manage and oversee purchasing activities for inventory items in line with approved budgets and demand plans
Coordinate with suppliers and internal stakeholders to ensure timely, cost effective, and compliant procurement
Monitor supplier performance, pricing, lead times, and service levels
Ensure purchase orders, receipts, and inventory records are accurate and aligned
Departmental Oversight & Coordination
Work closely with clinical, diagnostic, hospitality, housekeeping, facilities, and administrative departments to understand inventory needs, consumption patterns, and purchasing requirements
Ensure inventory availability supports patient care, operational efficiency, and service delivery across the hospital
Resolve inventory and purchasing-related issues impacting departmental operations
Leadership & Supervision
Supervise inventory staff and/or Inventory Officer(s), setting clear expectations, KPIs, and accountability
Provide guidance and oversight to departmental inventory custodians and storekeepers
Promote inventory discipline, purchasing compliance, and cost awareness across the organization
Financial Control & Cost Management
Maintain oversight of inventory valuation, purchasing spend, cost control, and reporting across all inventory categories
Monitor inventory turnover, slow-moving, obsolete, damaged, and expired stock
Identify cost-saving opportunities through demand planning, supplier negotiation, standardization, and waste reduction
Support budgeting, forecasting, and cost-optimization initiatives
Ensure accurate reconciliation between physical stock, inventory systems, purchasing records, and financial accounts
Risk, Compliance & Audit
Ensure hospital-wide inventory and purchasing compliance with regulatory, accreditation, safety, and internal audit requirements
Implement controls to safeguard high-value, critical, or sensitive inventory items
Lead or support internal and external audits, stock counts, and investigations
Systems, Reporting & Continuous Improvement
Oversee the integrity and effective use of inventory and purchasing systems across departments
Develop and present inventory and procurement performance reports to hospital management
Identify opportunities for process improvement, standardization, automation, and cost reduction
Key Performance Indicators (KPIs)
Inventory accuracy across all departments
Service level and stock availability hospital-wide
Purchasing compliance and on-time procurement performance
Reduction in wastage, loss, and obsolete stock
Inventory turnover and working capital efficiency
Cost savings and budget adherence
Audit outcomes and compliance levels
Effectiveness of inventory controls and staff performance
Qualifications & Experience
Bachelor’s degree in Supply Chain Management, Logistics, Business, Healthcare Management, or related field
Minimum 3–5 years’ experience managing inventory and purchasing in complex, multi-category environments
Experience in hospitals, hotels, large facilities, or similarly complex operations preferred
Supervisory or cross-functional leadership experience
Skills & Competencies
Strong understanding of diverse inventory types (clinical, hospitality, facilities,
administrative)
Solid knowledge of purchasing, supplier management, and cost control principles
Excellent organizational, analytical, and financial control skills
Ability to design and enforce inventory and purchasing frameworks across
multiple departments
Strong stakeholder management and communication skills
High attention to detail and risk awareness
Proficiency in ERP, purchasing, and inventory management systems
