Applications are invited from suitably qualified and experienced persons for appointment to the post of Administrative Assistant with the Eastern Caribbean Telecommunications Authority (ECTEL) at its regional Headquarters’ office located in Saint Lucia.
DUTIES AND RESPONSIBILITIES
Under the general direction and supervision of the Senior Administrative Assistant, the Administrative Assistant shall be expected to, among other things:
Provide general administrative support, including document preparation, records management, mail handling, and office coordination.
Serve as the first point of contact, providing professional reception services to visitors, callers, and stakeholders.
Receive, screen, and direct telephone calls, enquiries, and correspondence in a timely and courteous manner.
Maintain a welcoming, orderly, and secure reception area, including visitor sign-in and access procedures.
Coordinate and execute end-to-end travel arrangements (airfare, accommodation, ground transportation, travel insurance, and other travel logistics) for Board, Council, Management, staff, and meeting participants, in accordance with approved policies and budgets.
Schedule and/or update facilities maintenance activities, including servicing fire safety equipment, air conditioning systems, janitorial services, etc.
Monitor and maintain office supplies, including stationery and groceries.
QUALIFICATIONS AND EXPERIENCE
The applicant should possess:
Associate Degree in Business Administration or Office Administration
One to two (1–2) years’ experience in an administrative or customer service role
REQUIRED COMPETENCIES
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Strong written and verbal communication skills
Ability to manage office equipment (telephone systems, printers, copiers, scanners)
Excellent customer service orientation
Strong organisational and time-management skills
High level of professionalism and interpersonal skills
Attention to detail and accuracy
Ability to multitask and prioritise
Discretion and confidentiality
Proactive and solution-oriented
Team-focused, with the ability to work independently when required
TERMS OF APPOINTMENT
The successful applicant will be offered a permanent position following the successful completion of the probation period.
COMPENSATION PACKAGE
The compensation package is set at Grade II and is free of income tax.
DUTY STATION
The successful applicant will be based at ECTEL Headquarters in Saint Lucia.
