About the Role

We are seeking a highly organized, proactive, and results-driven Assistant to the CEO & Medical Recruitment and Regulatory Affairs Coordinator to provide high-level administrative support to the CEO while overseeing the recruitment, onboarding, licensing, and placement of healthcare professionals internationally/regionally and from Saint Lucia.

This is a diverse and fast-paced role requiring exceptional organizational skills, attention to detail, discretion, and the ability to manage multiple priorities. The successful candidate will work closely with healthcare professionals, government agencies, regulatory bodies, and healthcare institutions to ensure the smooth operation of recruitment, licensing, relocation and administration functions.


Key Responsibilities

Assistant to the CEO

  • Provide comprehensive administrative support to the CEO.

  • Manage the CEO's calendar, appointments, meetings, and travel arrangements.

  • Draft and manage professional communications on behalf of the CEO.

  • Handle confidential and sensitive information with a level of discretion.

  • Assist with special projects, strategic initiatives, and business development activities.

  • Anything else deemed necessary within the role 


Medical Recruitment & Regulatory Affairs

  • Coordinate the recruitment, onboarding, and placement of doctors, nurses, pharmacists, allied health professionals, and other healthcare practitioners.

  • Support the recruitment and placement of qualified healthcare professionals; the majority being international candidates.

  • Manage work permit applications and employment authorization processes.

  • Coordinate professional registration and licensing requirements with:

    • Medical and Dental Council

    • Nursing Council

    • Pharmacy Council

    • Allied Health Councils

    • Other relevant regulatory authorities

  • Liaise with government agencies and regulatory bodies to facilitate approvals and registrations.

  • Coordinate Saint Lucian entry visas and transit visas for international healthcare professionals.

  • Arrange flights, accommodation, transportation, and relocation logistics.

  • Prepare, draft, and issue employment contracts and supporting documentation.

  • Create and place recruitment advertisements across various platforms.

  • Organize and conduct meet-and-greet services for new employees and prospective candidates.

  • Maintain accurate records of recruitment, licensing, immigration, and onboarding activities.

  • Monitor application timelines and proactively follow up to ensure deadlines are met.

  • Develop and maintain strong working relationships with healthcare institutions, government departments, and regulatory authorities.


Essential Requirements

  • Excellent organizational, administrative, and project management skills.

  • Strong written and verbal communication skills.

  • Ability to manage multiple projects simultaneously and work under pressure.

  • High attention to detail and accuracy.

  • Ability to work independently and exercise sound judgment.


Desirable Qualifications

  • Experience working within healthcare recruitment or healthcare administration.

  • Knowledge of immigration, work permit, licensing, and credentialing processes.

  • Familiarity with Saint Lucia's healthcare regulatory environment.

  • Experience coordinating international recruitment and relocation.
